Minutes of the Country Club Management Committee
Held at the South Shore Country Club

MINUTES OF MARCH 23, 2010

Members Present: Paul Casey, Kerry Ryan, and William Friend.

Others Attending: Jay McGrail, SSCC’s Director of Operations and Susan Sullivan, consultant to the CCMC were present for the entire meeting. Elio Ricci, and Frank Ricci, representatives of Raffael’s, the SSCC’s new food and beverage operator, were present for the food and beverage tour segment of the meeting.

With a quorum present, the meeting was, called to order at 9:00 AM.

Jay McGrail opened the meeting by initiating a discussion on the comments made by the Town Advisory Committee, at its meeting on March 18th, with regard to CCMC’s proposal to seek Town Meeting authority to explore the leasing of land at the SSCC for installation of a cell phone tower. It was clear to Jay, as well as other CCMC members attending the cell tower warrant article review by the Advisory Committee that the Advisory Committee would not support the warrant article at Town Meeting.

Following further discussion of these matters, on motion duly made and seconded, the committee voted unanimously to withdraw its request for a cell tower warrant article. Jay McGrail and William Friend were then instructed to inform the Advisory Committee and the Town Administrator’s Office of this decision.

Jay McGrail next discussed the status of the Request For Proposals (“RFP”) issued by the Town Of Hingham for the operation and maintenance of the public swimming pool at the SSCC. He reminded the committee that the deadline for return of the proposals, pursuant to the RFP, had passed and that only one proposal had been submitted. He further explained that his office had prepared a comparison of the one proposal received, which had been submitted by the South Shore YMCA (“YMCA”), to the prior year’s pool management arrangement with the YMCA and, after examining this comparison documentation and the actual proposal submitted by the YMCA, he and William Friend felt that it met the criteria set forth in the RFP and were recommending acceptance of the YMCA proposal. Before requesting a vote to accept the YMCA Proposal, Jay McGrail noted that the RFP specified a three-year contract that would need to be reviewed and signed once the Proposal was accepted. He also noted that, while the proposal contained information prepared by the YMCA on the suggested fees to be charged for swim lessons and swim team participation, these fees are ultimately determined by the SSCC.

Thereafter, on motion duly made and seconded, the committee voted unanimously to accept the proposal submitted by the YMCA for the operation and management of the SSCC public swimming pool and instructed Jay McGrail to so inform the Town Administrator’s Office and the YMCA. The committee further authorized Jay McGrail, William Friend and Kerry Ryan to review the proposed three –year contract with the YMCA and present the final contract to the committee for approval.

Following this action by the committee, Jay McGrail presented the proposed “brand” look and type face for future signage at the SSCC and asked the committee for its input. A discussion of the sign design and the sourcing of the signs ensued.

Upon the completion of this discussion, Mr. McGrail provided the committee with a budget and revenue update, discussing the new memberships signed up in early March, the revenue received from these memberships and the rounds of golf that had been played, as well as the current over all revenue position of the SSCC. Responding to a question asked, he also noted that new golf outings had also been signed up and that the Raffael’s sales team was actively working with the SSCC staff to pursue new opportunities for golf outings.

At this time the committee members met with Elio and Frank Ricci for a tour of the remodeling work being done on the SSCC food and beverage facilities.

Following the tour, on motion duly made and seconded the meeting was adjourned.
