Recreation Commission - Meeting Minutes

June 10, 2010(Accepted July 1, 2010)

Call to Order: by Chairman Frank Jones @ 7:00p.m.

Present: Frank Jones(Chairman), Scott Bosworth, Bud Thorne, Tom Belyea, 1 vacancy

Open Forum: Question made by Tom Belyea: What data and criteria determines that field usage is maxed out? Recreation Director Mark Thorell provided data entitled: “Reservations By Facility” for each field, listed by league organization, listing the dates and timeslots covering the period of 4-1-10 to 7-4-10. Field time slots range from 2:45p.m. to 7:30p.m.

New Business:
1. Summer Baseball - Two separate programs requested field permit approval for the same time periods.
Hingham Little League- Represented by Mike Bennis and Glenn Vinton-120 kids
Age 8-12; 9-10 teams; 10 games; cost: $99 per youth.
Schedule unknown at this time.
Hingham Travel Baseball, Inc.- Represented by Elliott Sherman and Bob Beniers-
140 kids; age 8-12; 11-12 teams; 10 games; cost: $150 for 8 year olds; $175 for ages 9-12.
Schedule unknown at this time. Note: Mr. Sherman said he would apply for 501 c 3 nonprofit status.
Both parties were requested to work out field assignment schedules.

2. Road Race: Director Mark Thorell reported:
a.. $15,000 committed in sponsorships
b. Sound system and music for start area rented for $400
c. Runners to be sorted into 3 colorcoded groups instead of 4

Director’s Report: June 10, 2010

Facility / Fields:
1. Mid June Application: All fields have been applied with fertilizer, lime, and potash.
2. Cronin Soccer Field, Baseball infields, and Margett’s Field will be slice seeded
3. Last week’s lightning strike fried all three of our control panels for the irrigation systems.
4. Professional foul poles have been ordered for Cronin Baseball Field

Road Race:
1. Attached is an up to date road race sponsor sheet.
2. The deadline for sponsor confirmations is Monday June 14, 2010
3. We are 15 volunteers / employees short of meeting the requested 35 road guards.

Summer 2010 Programs:
1. Registration begins tonight at 6:00 PM

Summer 2010:
1. Summer Program orientation is on Saturday June 12th.
2. We have 100 teens enrolled in our Teen Extreme program

Financial Information:
1. Attached is an update of our revolving fund (end of April)

Information / Questions for the Commission:
1. The Parade Committee would like to know if their drum core could sleep in our gymnasium on July 3, 2010.
2. A resident asked if we could install a screen on the Cronin Field backstop. This screen would alleviate the distractions for the baseball pitchers.
3. We have received more complaints about the a/c unit in our yoga/spin classroom.


Addendum to June 10, 2010 Director’s Report

Facility / Fields:
2. Cronin Soccer Field, Baseball infields, and Margett’s Field will be slice seeded in the next two weeks.
3. The South Shore Country Club has replaced the irrigation control panels that were struck by lightning. However, one of the irrigation systems is still not working. I am going to have an irrigation company diagnosis the broken system.
4. Professional grade 30 foot foul poles have been ordered for Cronin Field. These poles cost $3,325.

Road Race:
3. In order to meet the requested 35 road guards, Recreation Department employees who will be working the start line will also have road assignments. I will also ask if the Citizens Police Academy can volunteer their services during the road race.

Question for Commission:
1. The parade committee was notified that both the Rec Commission and the Town Administrator were not in favor of allowing eighty people sleep in the gymnasium at the Town Hall on July 3, 2010.
2. I am going to call the resident who requested a backstop screen on Cronin Field. I will notify him that I will be contacting league presidents to ask them if the pitchers are distracted from not having a screen on the back stop.
3. There was no action taken regarding the a/c unit. I informed the participants that the Rec Commission and I are working on a solution to fix the faulty a/c units.
